Privacy notice
Draft for legal review. Last updated 8 October 2026.
The short version
We only write to you about Humanity Lands gatherings. Your details are kept separately from SOLM's, and you can leave at any time. We do not sell your details or use them for anything else.
Who is responsible
Humanity Lands, part of Solm Systems Ltd [COMPANY NUMBER, REGISTERED ADDRESS], is the controller of the personal data described here. Write to contact@humanitylands.com with any question about it.
What we collect
Depending on what you do, we hold:
- Your email address, and your name if you give it, when you ask to hear about the next gathering.
- Your application: how you would like to come, what you see the land through, and why you would like to come.
- Your profile, if you make one: a photograph, a line about you, your field, your LinkedIn address, and your journal pieces.
- Your bookings: the gatherings you have booked, attended or waited for, and anything you tell us about access or health that we need to look after you on the ground.
- Payment records: the amount you paid and when. [PAYMENT PROVIDER] handles your card details, and we never see or store them.
- Basic technical data when you visit the site, such as the pages you open. [ANALYTICS APPROACH]
Why, and on what basis
Under UK data protection law we need a lawful reason for each use.
- To write to you about gatherings: your consent, which you can withdraw whenever you like.
- To read your application, take your booking and run the gathering: so we can do what you have asked of us.
- To show your profile or let other members contact you: your consent, which you control from your profile.
- To look after your health and safety if you tell us something about it: your explicit consent.
- To keep payment and accounting records and keep the site secure: our legal obligations and our legitimate interest in running the gatherings safely.
Who sees it
Only the small team running Humanity Lands. Your details are kept separately from SOLM's. Other members see your name, photograph and field only if you have chosen to show your profile, and can contact you only if you have said you are happy to be contacted. We share data with the services that help us run the site, for example email, hosting and payments, only so they can do that job. Hosts of the land we gather on receive the names of those coming, so they know who is on their ground. We do not sell your data.
How long we keep it
Mailing list details until you leave the list. Applications, profiles and bookings while you are a member and for [PERIOD] after. Payment records for as long as the law requires, which is currently six years. Anything you tell us about health or access is deleted within [PERIOD] of the gathering.
Photographs
We photograph only when something is worth keeping, and only with the permission of those in the picture. If you would like a picture of you removed, write to us and we will take it down.
Your rights
You can ask to see the data we hold about you, correct it, delete it, limit how we use it, take a copy of it, or object to its use. You can withdraw consent at any time, and every email we send has a way to leave. Write to contact@humanitylands.com. If you are not happy with our answer, you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies
The site uses only what it needs to keep you signed in. [IF ANALYTICS OR OTHER COOKIES ARE ADDED, LIST THEM HERE AND ADD A CONSENT BANNER.]
Changes
If we change this notice, the date at the top shows when. Our terms explain how the gatherings work.
